Description
The Executive Administrator is responsible for consulting on strategic leadership and executive management of the day-to-day operations of the Society. This role ensures effective implementation of the Society’s strategic plan as determined by the Board of Directors, including initiatives related to member engagement, employer and public outreach, sponsorship development, and professional programming.
The Executive Director helps the Society achieve the following key objectives:
Grow membership and engagement.
Increase sponsorship and participation in educational and social events.
Strengthen relationships with key external stakeholders.
Enhance collaboration with other CFA Societies and the CFA Institute.
Maintain and improve operational efficiency and service excellence in line with CFA Institute’s standards for a Professional Society.
Key Responsibilities
Governance
Consult the Board to ensure compliance with all relevant laws, codes, statutes, Society Bylaws, and articles of incorporation.
Minimize operational risk during Board and Committee transitions by:
Providing continuity, context, and transition support.
Maintaining documentation of Chair roles and duties.
Overseeing long-term projects across board turnover.
Facilitate effective information flow among board members, committee chairs, and key stakeholders.
Support development, implementation, and annual updates of governance policies and the Board Manual.
Institute and Society Relations
Maintain a productive working relationship with the CFA Institute, ensuring compliance with all related processes, standards, and reporting deadlines.
Foster collaboration with other CFA Societies locally, regionally, and globally.
Sponsorship and Partner Relationships
Collaborate with the Board to engage and steward current and prospective sponsors.
Develop sponsorship packages for the Annual Forecast Dinner and other Society events.
Provide continuity and institutional knowledge to support sponsorship efforts through leadership transitions.
Vendor and Partner Management
Oversee vendor relationships, including negotiation, contract review, and service coordination.
Manage procurement and ensure cost-effective delivery of goods and services.
Representation and Events
Represent the Society at CFA Institute and other industry conferences as approved by the Board.
Support event planning, logistics, and execution for professional, educational, and social programming.
Board and Volunteer Support
Assist in preparing Board meeting agendas, materials, and reports.
Provide regular operational and strategic updates.
Support volunteer recruitment, engagement, and coordination with committee chairs.
Operations and Administration
Oversee all Society communications, technology platforms, and data management systems.
Consult the Board to ensure compliance with CFA Institute reporting and operational requirements.
Ensure high-quality member communication and engagement through multiple channels.
Executive and Strategic Support
Coordinate and assist the Board to execute the Society’s strategic plan and CFA Institute initiatives.
Support the preparation of strategic plans, annual budgets, and special projects.
Consult the Board to implement best practices to enhance local operations and member experience.
Develop tools to measure member satisfaction and implement growth strategies.
Financial Management
Manage bookkeeping, income and expense tracking, and financial reporting.
Reconcile accounts and prepare P&L statements and balance sheets.
Work with the Treasurer on budget oversight and financial planning.
Prepare required filings and documentation (1099, 990, state/federal nonprofit reports).
Record Keeping and Systems
Coordinate with the Board to maintain accurate records, files, and archives (electronic and hard copy).
Manage and update systems including:
Cvent – Event registration and reporting
Salesforce – Member data and reporting
QuickBooks – Accounting and financial tracking
PayPal – Payments, invoicing, and reconciliation
Website CMS – Content management and updates
Constant Contact – Newsletters and event promotions
SurveyMonkey – Member surveys and analysis
Zoom / Microsoft Suite – Virtual meetings and communications
Requirements
Preferred Qualifications
Bachelor’s degree in business, communications, nonprofit management, or related field
Minimum 5–7 years of nonprofit management or association leadership experience.
Demonstrated success in stakeholder management, sponsorship development, and strategic planning.
Strong financial acumen and experience with nonprofit accounting and reporting.
Excellent communication, organizational, and leadership skills.
Proficiency with technology platforms such as Salesforce, Cvent, QuickBooks, and Constant Contact.
Familiarity with the CFA Program or financial services industry strongly preferred.
